The critical elements of any contractor management systems is storing and monitoring date sensitive documents.
This is the core function of the system and if a company level document expires, this triggers a compliance status change and non-compliance notification to the client and contractor.
As contractor documents are loaded, each document can be reviewed and approved by an Admin User.
All documents are stored and once approved the expiry dates trigger a compliance status changes.
While all date sensitive documents are current the status will remain compliant in the system.

You can add your contractor basic company information via a bulk upload spreadsheet or individually via the system.
Contractors receive an invitation to register, they logon to the system and enter all their company details.
Each contractor must answer all questions prior to their status changing to ready for approval.
Each contractor can have more than one contact. Although they must nominate a primary contact.
Admin Users can record internal notes and upload internal documents not visible to the contractor.
You can upload the contractor insurances, or your contractors can upload via their own portal.
You can upload the contractor certificates and licences, or your contractors can via their own portal.
Documents can be loaded for contractor employees. These do not trigger a company level non-compliance.
Any general documents can be loaded into the system, IE: policies, procedures, SWMS.
A contractor can not edit an insurance document, to protect data integrity, the document can only be replaced and archived.
A copy of any expired document that has been replaced is archived and viewable to the client in the system.
You can load internal documents against a contractor (not visible to the contractor)
EG: Audits, Reports.
If you no longer want to use a contractor, you can make them inactive. Their data and documents will remain in your system.
On the dashboard you can see at a glance your overall compliance summary. Clickable to open specific items.
The contractor module is linked to our Learning Module, so you can nominate courses for your contractor employees.
A library of your documents made available via the system to your contractors, give your contractors access.

Your documents are loaded like you would in DropBox, once activated your contractors can view.
